Wind Down Process Changes

 
 

I wanted to take a moment to inform you about some important changes and updates for our Wind Down group. I know change is not everyone's favorite thing. These changes are aimed at enhancing my efficiency, communication, and overall effectiveness in supporting the group and continuing to offer this free service as we continue to grow. 

As discussed in our meetings recently, we have adjusted our meeting scheduling process for Wind Down. You had some questions, so I figured I would share all the info here. I am a short list person, but I know some of you had questions to understand the changes - so I provided the long list here.

1. **New Wind Down Community Page**: 

Facebook is no longer the main hub for info and registration. It will link you to our Wind Down page here https://www.emerginglotuscoaching.com/wind-down. You can also navigate through my website here at https://www.emerginglotuscoaching.com/ and click on Wind Down in the top right corner.

Why:

  • This page makes it super clear and consistent on where to go to register. Even as I transition systems - the Registration Calendars will be here and easy to find. 

  • This page makes it easier to plan for days we will skip Wind Down. As of now, I have listed days I cannot commit to hosting do to school closures. I will update the calendar as any other conflicts arise. 

    • We love volunteers. If you are able and willing to host that day - send me a note, and I will get the schedule updated. 

  • Future Plans: We can use this page to build on some of our resource sharing.

2. **New Zoom Link**: 

The new scheduler will automatically assign Zoom meeting links to each week. You will need to register in order to receive the Zoom Link. Previously saved links should be archived.

3. **Register In Advance**: 

Please make sure you register in advance for a meeting you can make.  Registrations should be completed at least 2 hours prior to the session. You can always cancel if something changes. Wind Down is a great time to register for the next week(s) as you are pre-week planning. 

Why:

  • Registering in advance helps the host plan their time. We have an idea of how many people to expect and can break down our time management for introductions/and post-planning conversations. We also know if we should cancel due to no registrations. 

  • Registering in advance also allows the host to be fully present with the individuals in the room. This prevents me from being distracted trying to watch for and respond to communications out of the room from individuals not able to find the information to log in. 

  • Registering in advance saves time for the organizer.  When you register in advance it allows me to lean into the power of the Workflows to send out reminders.  This reduces my administrative burden to just crafting weekly email reminders to register.
